Registering a Death

In Scotland, you are required to register a death within 8 days.  The death may be registered with any registrar in Scotland.

The death may be registered by:

  • Any relative (this includes the spouse or civil partner of the person who died or a relative by marriage or civil partnership)
  • Any person present at the death
  • The executor or other legal representative
  • The occupier of the premises where the death took place
  • Or if there is no such person, any other person possessing the information needed for registration.

As a result of the Coronavirus pandemic the registration process changed.  The GP surgery or hospital bereavement team will forward the MCCD to the Registrar.  As your funeral director, we will provide you with registration forms to be completed and returned to us.  We will forward this information onto your chosen registrar, on your behalf.

Making Arrangements

Required Information

Information you will need to provide includes:

  • The deceased person’s full name at time of death
  • Any names previously used, including maiden surnames
  • Their date and place of birth (town and county if born in the UK and country if born abroad)
  • Their last known address
  • Their occupation
  • The full name, date of birth and occupation of a surviving spouse or civil partner
  • Whether the deceased was in receipt of a state pension or any other state benefit
  • The full name and occupation of the deceased’s parents, including the maiden name of the deceased’s mother

Additional documents required if available:

  • Birth Certificate
  • NHS Medical Card
  • Marriage/Civil Partnership Certificates

Once The Registrar Receives The Information

The registrar will liaise with you by telephone and email to confirm all the details taken are correct before registration of death is finalised. At this point the registrar will email a copy of the Certificate of Registration of Death (Form 14) to your chosen funeral director. This will allow a burial or cremation to take place.

Documents You Will Receive:  The registrar will provide you with an abbreviated Extract of Death certificate free of charge.  You will be able to purchase a full Extract of Death certificate, which includes details of the cause of death, at a cost of £10.00 per copy, if purchased within 30 days of registration (£15.00 thereafter).  This document may be required by the executor and other legal or financial services involved in managing the personal affairs of the deceased.

Tell Us Once:  This is a service, managed by the registrar, that lets you report a death to most government organisations in one go saving you time and unnecessary distress.

Tell Us Once will notify HM Revenue and Customs (HMRC), Department for Work and Pensions (DWP), Passport Office, Drive and Vehicle Licensing Agency (DVLA), The Local Council – to stop pension payments, council tax, electoral services, blue badge service, library cards, buss pass and other social services.

Legal Advice & Support

When death occurs, it is very important to ascertain whether or not the deceased has left a Will.  This is a legal document which may contain instructions regarding details of the funeral arrangements.

A Will may be with a solicitor or bank for safe keeping or amongst personal papers in the deceased’s home.  It is advisable to consult a solicitor at this time.  The solicitor will be able to help with probate, proving the Will is valid.  They will support you to finalise the details of the deceased’s estate, if required.

Help With Funeral Costs

The Funeral Support Payment is a new payment available to people in Scotland, who receive certain benefits or tax credits, to help meet the cost of the funeral.  This payment replaces the Funeral Expense Payment from the Department of Work and Pensions (DWP).

The payment will not cover the full cost of the funeral but it should help to pay for some costs.  For further information visit:  https://www.mygov.scot/funeral-support-payment

Jewellery and Personal Effects

Jewellery may be left with your loved one or returned to the applicant according to the wishes of the relatives.  When we remove jewellery from the deceased, we take a photograph of the items and this forms part of the jewellery receipt, signed by the applicant when the jewellery is returned to them.  For peace of mind, we ask that all jewellery and personal effects required are collected and signed for prior to the day of the funeral.

Motor Insurance

Insurance cover on a vehicle owned by the deceased ceases immediately at time of death.  The next of kin or appointed executor should inform the insurance company concerned who will offer immediate transfer of cover as appropriate.

The vehicle registration documents should be returned to the licensing authority for transfer of ownership to the beneficiary.  The driving licence of the deceased should be returned to the licensing authority for cancelling.

House Insurance

Contact the property’s existing home insurance company as soon as you can to advise them of the owner’s death.  If a home is left unoccupied for more than 30 days most standard home insurance policies become void or cover is significantly reduced.
